Pleiades Housing Alliance ("we," "us," or "our") is a federally incorporated non-profit. We are committed to protecting the privacy and personal information of everyone who visits our website, donates, or otherwise engages with us. This Privacy Policy describes how we collect, use, disclose, and safeguard your information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable privacy laws.

1. Information we collect

We only collect personal information that you choose to provide or that is necessary to deliver our services. This may include:

Contact details, such as your name, email address, and mailing address when you contact us or sign up for updates.
Donation information, such as your name, billing details, and donation amount when you make a gift. Payment card details are processed by our secure third-party payment provider and are not stored on our servers.
Messages, the content of any inquiry or message you send us through our forms or by email.
Website usage data, basic, non-identifying analytics such as pages visited and general location, collected to help us improve the site.

2. How we use your information

We use the information we collect to:

Respond to your inquiries and provide the information or support you request;
Process donations and send gift acknowledgements;
Send updates about our work, where you have asked to receive them;
Understand and improve how our website and programs serve our community; and
Meet our legal and regulatory reporting obligations.

3. How we protect your information

Our website is served over a secure, encrypted HTTPS connection. We use reputable third-party providers for payment processing and email, and we apply reasonable administrative, technical, and physical safeguards to protect your information against loss, theft, and unauthorized access. No method of transmission over the internet is ever completely secure, but we work diligently to protect your data.

4. Sharing your information

We do not sell, rent, or trade your personal information. We share information only with the service providers that help us operate this site, and only to the extent necessary for them to perform their service. Those providers are:

Zeffy — our donation platform, which processes gifts on its own secure pages. See “Donations and payment processing” below.
Google Analytics (GA4) — aggregate, anonymised traffic measurement. See “Cookies and analytics” below.
Google Ads — measures whether visits that begin with a click on one of our Google ads lead to a completed donation. See “Cookies and analytics” below.
Our web host — which stores this website and the messages sent through our contact form.

We may also disclose information where we are required to do so by law.

5. Donations and payment processing

Donations are processed by Zeffy, a third-party donation platform. When you choose to give, you leave this website and complete your gift on Zeffy’s own secure, encrypted donation page.

Pleiades Housing Alliance never receives, processes, or stores your credit card, debit card, or bank account details. Those details are handled entirely by Zeffy and its payment providers. Zeffy collects the information needed to complete your gift — such as your name, email address, billing address, and payment details — and passes on to us only the donor information we need in order to acknowledge your gift and keep accurate records.

Pleiades Housing Alliance is a federally incorporated Canadian non-profit under the Canada Not-for-profit Corporations Act, Corporation No. 1460040-1. Our CRA charitable registration has been filed and is not yet granted, so we cannot issue charitable tax receipts yet.

6. Cookies and analytics

Our website uses cookies and similar technologies to remember preferences and to gather aggregate, anonymized statistics about site usage. We use Google Analytics (GA4) to understand how visitors find and use our site; it collects information such as pages visited, approximate location, and device type, and does not store your IP address. You can set your browser to refuse cookies, or install the Google Analytics Opt-out Browser Add-on, to prevent this collection; some features of the site may not function as intended if you disable cookies.

We also use Google Ads conversion tracking. It sets cookies that let us see whether a visit that began with a click on one of our Google ads led to a completed donation, so we can tell which ads are worth running. It is configured for measurement only, with advertising personalization turned off. You can refuse these cookies in your browser, or manage Google’s advertising settings at adssettings.google.com.

7. Your rights and choices

You have the right to:

Request access to the personal information we hold about you;
Ask us to correct or update inaccurate information;
Request deletion of your information, subject to our legal and regulatory record-keeping obligations; and
Unsubscribe from our communications at any time using the link in our emails or by contacting us.

8. Visitors outside Canada

We are based in Ontario, Canada, and information collected through this site is stored and processed in Canada and the United States. If you are visiting from the European Economic Area or the United Kingdom, you have the right under the General Data Protection Regulation (GDPR) to request access to, correction of, or erasure of your personal data, and to object to or restrict its processing. To exercise any of those rights, contact us using the details in the final section of this policy and we will respond within the timeframes the applicable law requires.

9. Retention

We retain personal information only as long as necessary to fulfill the purposes described in this policy or as required by law, after which it is securely deleted or anonymized.

10. Children's privacy

Our website is not directed to children, and we do not knowingly collect personal information from children without the consent of a parent or guardian.

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. We encourage you to review this page periodically.
